Upload a .xlsx, .xls, or .csv file. The first row should be column headers. Recognized columns: Name, SKU, Category, Material, Quantity, Cost, Price, Threshold.

Import Purchases from Excel

Upload a .xlsx, .xls, or .csv file of purchase line items — matched to your own template's columns: Date, Vendor Name, Invoice No, Lot No., Line, Item, SKU, Description, Quantity, Amount, Category, Gold Karat, Gram, Big Stone, Cts, Stones, Cts2, Color Stone Type, Cts3, Size. Repeat the same Invoice No on every line that belongs to that invoice.

Amount is treated as the line's total cost (Amount ÷ Quantity = unit cost). Gold Karat (e.g. 18Y, 18KW, 18R) is read as karat + color to set the material — Y = Gold, W = White Gold, R = Rose Gold. Matching: a line updates an existing item if its SKU matches one already in inventory; otherwise a new item is created using Description (or Item / SKU as fallback name). Stone and weight details are kept in the purchase notes. There's no payment column in this template, so every imported line starts fully unpaid — record payments afterward from the Payables tab.

Import Sales from Excel

Upload a .xlsx, .xls, or .csv file of sales line items — matched to your own template's columns: Master Sku, Item, SKU, DESC, Date, Inovice no., Pcs, Sold Amt, Sold To, COGS, REMARKS, P O. Repeat the same invoice number on every line that belongs to that invoice.

Sold Amt is the line's total sale amount (Sold Amt ÷ Pcs = unit price). Matching: a line is linked to an existing inventory item if its SKU (or Master Sku) matches one already in stock — that item's quantity is reduced. If no match is found, the sale is still recorded for your records, but no inventory item is created or adjusted. COGS and REMARKS are kept in the sale's notes for reference. There's no payment column in this template, so every imported line starts unpaid — the full amount lands in Receivables — and you can record payments afterward from the Receivables or Customers tab as they're actually collected.

Import Purchase Returns from Excel

Upload a .xlsx, .xls, or .csv file of items returned to suppliers. Recognized columns: Date, Supplier, SKU, Item Name, Quantity, Unit Cost, Notes.

Matching is by SKU — if it matches an item already in your inventory, that item's stock is reduced and its name is used automatically. If the SKU doesn't match anything, the return is still recorded (using the Item Name given) but no inventory quantity is touched. Each return creates a credit owed back by that supplier for the full amount.

Import Sales Returns from Excel

Upload a .xlsx, .xls, or .csv file of items returned by customers. Recognized columns: Date, Invoice no., Customer, SKU, Item Name, Quantity, Unit Price, Notes.

The invoice number is optional — any row that leaves it blank is given the next number automatically. Matching is by SKU — if it matches an item already in your inventory, that item's stock is increased back and its name is used automatically. If the SKU doesn't match anything, the return is still recorded (using the Item Name given) but no inventory quantity is touched. Each return creates a credit owed to that customer for the full amount.

Chart of Accounts

Income and Expense accounts are used to categorize the transactions in the Expenses & Income tab, and roll up into the Income Statement.

Import Loans & Expenses

Upload one .xlsx, .xls or .csv file. The template has two sheets — Loans and Expenses — and you can fill in either or both. Every row can name its own bank account, so one file can cover several accounts at once.

Loans sheet: Type (Received / Given), Party, Date, Principal, Bank Name, Notes.
Expenses sheet: Type (Expense / Income), Account, Date, Amount, Bank Name, Payee, Notes.

A Bank Name that doesn't match an account you already have will be created for you. Same for an expense or income Account such as Rent or Repairs. Rows missing a date, an amount, or a name are skipped and listed back to you rather than guessed at.

A CSV can only hold one sheet — name its columns as above and it will be read as loans if it has a Principal column, otherwise as expenses.

Export Bank Statement

Pick an account and the dates you want. The statement opens with the balance carried in from before the start date, so it always balances back to the account.

Leave a date blank to run from the very first entry, or up to the latest.

Import Bank Statement

Upload a .xlsx, .xls, or .csv bank statement or register export. Recognized columns: Date, Name, Memo, Split, Amount (QuickBooks-style registers), or a simpler Date, Description, Amount layout — either works, as does separate Debit / Credit columns instead of a signed Amount. Add a Bank Name column to import statements for multiple bank accounts in one file — each row is assigned to whichever bank its Bank Name matches.

If a Split column is present, it decides the direction — rows split to Accounts Payable are treated as vendor payments, Accounts Receivable as customer payments, and any other split (rent, bank fees, transfers, etc.) is skipped entirely since it isn't part of your invoices. Otherwise, the sign of the amount decides direction: money in is matched against sales (receivables), money out against purchases (payables). A Name column is used to identify the customer or vendor directly when it matches someone already in your records; otherwise the description text is searched instead. An exact balance match on an open invoice applies the payment automatically. If nothing matches — or more than one invoice matches the same amount — it's left as an unapplied credit for that party, which you can apply to an invoice later from the Banks tab. If a row's Bank Name doesn't match any account you already have, a new bank account is created for it automatically.
